AI-powered meeting assistants have rapidly become one of the most adopted categories of workplace technology. These tools join video calls to record, transcribe, and summarize conversations, promising efficiency gains and more reliable documentation. The value proposition is clear: accurate records improve accountability, knowledge-sharing, and business continuity.
But as with any technology deployed at scale, the benefits come with trade-offs. Without thoughtful governance, AI transcription can introduce not only compliance challenges under privacy laws but also strategic, cultural, and legal risks for organizations. What starts as an efficiency tool can quickly create liabilities if implemented carelessly.

Participants must be informed not only that transcription is taking place, but also of its purpose, retention and deletion periods, and recipients of the data, among other things.
In practice, organizations can implement transparency in different ways. A concise privacy notice can be included in the meeting invite, supplemented by a link to a more comprehensive policy. Some companies opt to display a shared screen at the start of the call with the relevant information. The format can vary, but the essential requirement is that participants receive clear, accessible information before their data is processed.
Business Convenience Versus Strategic Risk
Even if compliance hurdles are overcome, the business case for indiscriminate transcription is weaker than it appears. The fact that something can be done does not mean it should be done. Verbal conversations are often chosen over emails precisely because they do not leave a written trace.
Automatic transcription undermines that choice. Every casual remark, every half-formed idea, every confidential strategy becomes a permanent document. This creates immediate risks:
- Litigation risk: In large companies, lawsuits are inevitable. Discovery obligations can compel disclosure of transcripts, exposing conversations that were never meant for a courtroom.
